When you read print and online materials that are easy to comprehend and flow logically, the writer did a good job at editing and revising or an editor was hired. Either way, good writing is not easy. Following is a breakdown of what it takes to make an easy read.
Words
First, you have to choose words. Not just any words, though. You have to know what the word means; how to use it correctly in a sentence; and how to spell it correctly. Know that spell check isn’t always accurate and it doesn’t let you know if you’re using the word correctly.
Sentences
Then, you have to string these words together to compose a sentence which expresses your thoughts. It should include a subject and a verb. Keep in mind that a sentence can be two words.
When writing sentences, you should put the words in an order that’s easy to read and understand. The placement of words can change the meaning of sentences.
There’s a purpose for each punctuation mark but it takes practice to know when to use them. Sometimes semicolons are used when commas will do. And you have to use your judgment when choosing between a period and comma. And how many times have you forgotten to use a question mark when asking a question?
Paragraphs
Your sentences will become paragraphs. Here are three keys for successful paragraphs. First, each paragraph should have ONE topic. Second, create an outline of what you want to talk about on your topic. Third, use transition words or phrases to move the reader to your next paragraph.
A paragraph should be at least four sentences (well, that’s what they taught us in grade school), but it can be longer or shorter based on your subject. A paragraph can be a single sentence.
Editing and Revising
After you write your paragraphs, you have to edit and revise them. This requires you to change words; change sentences by adding, deleting and moving words; change paragraphs by moving and deleting sentences; and moving or deleting entire paragraphs.
Revisions are painful because you have to cut the fat from your project. Sometimes you have to delete the good stuff you took time to write. Your 500-word piece could easily be cut down to 350 words, but it would be easier to read if edited and revised effectively.
